How to transcribe a Zoom meeting.

There are three ways to walk out of a Zoom meeting with a transcript in hand: Zoom's own transcription (when the account and the host allow it), taking notes yourself, or installing an extension like Ata, which reads Zoom captions in your browser with no bot joining the call. Here are the steps and the real limits of each option.

What needs to be on before the meeting.

    Turn it on in the settings

    The account owner or admin turns transcription on in the Zoom settings, on the web portal.

    Record to the cloud or start live transcription

    To get the text of a recording, the meeting must be recorded to the cloud. To get captions during the call, the host starts live transcription in the meeting itself.

    Find it afterwards

    After the meeting, the text sits next to the cloud recording, on the Zoom portal.

When these features show up: according to the Zoom Help Center, audio transcription for cloud recordings requires a paid account (Pro, Business, Education or Enterprise) with cloud recording turned on. Auto-generated captions (live transcription) were made available by Zoom to free accounts too, and are turned on during the meeting. Plan conditions can change, so check the ones on your account.

Taking manual notes

It always works, but it has a cost: your attention.

Pros
  • It does not depend on any plan, or on installing anything.
  • It works in any meeting, even outside Zoom, Meet or Teams.
  • It forces the note taker to focus on what matters.
Cons
  • The note taker takes less part in the conversation.
  • It is easy to miss details, especially in long meetings.
  • There is no word-for-word record of what was said, only the note taker's interpretation.

Install the Ata extension
